Cancellation Policy
At WildStep Trekking, we understand that travel plans can change unexpectedly due to personal circumstances, flight adjustments, or unforeseen events. We strive to offer a fair, transparent, and flexible cancellation policy while managing non-refundable operational costs (such as flight reservations, national park permits, and guide prep-wages).
1. Client-Initiated Cancellations
If you need to cancel your booked trip, you must notify WildStep Trekking in writing via email (info@wildsteptrekking.com). The effective cancellation date is the day we receive your written notification.
Refunds are calculated based on how far in advance we receive your written notice relative to your trip start date:

Lifetime Deposit Guarantee: If you cancel 30 or more days before departure, your deposit is never lost. We will credit 100% of your deposit value toward any future trip with us—valid for a lifetime, or fully transferable to a friend or family member.
2. Cancellations Due to Weather or Force Majeure
Mountain travel in the Himalayas is subject to unpredictable weather conditions, especially in mountain aviation hubs like Lukla (Everest region) or Jomsom (Annapurna region).
Mountain Flight Delays / Cancellations: If your domestic mountain flight is delayed or canceled due to weather, we will assist in rebooking you on the next available flight or help coordinate alternative ground transport or helicopter charters. Additional accommodation, food, or private helicopter costs incurred due to flight delays are the responsibility of the traveler.
Force Majeure Events: If WildStep Trekking is forced to cancel your trip prior to departure due to events beyond our control (e.g., severe natural disasters or government travel bans), we will offer a full refund minus incurred, non-refundable permit fees.
3. Early Departure & Unused Services
Once your trip has officially commenced, no refunds or price reductions will be issued if you choose to leave the trek early, shorten your itinerary, or fail to utilize pre-booked teahouses, transportation, or meals—whether due to altitude sickness, personal injury, illness, or personal choice.
4. Mandatory Travel Insurance
To safeguard your vacation investment, comprehensive travel insurance is mandatory for all high-altitude trekking and peak climbing packages. Your insurance policy must explicitly cover high-altitude trekking (up to 5,500m+ depending on your itinerary), emergency medical expenses, and high-altitude emergency helicopter rescue evacuation.
In the event of a medical cancellation or evacuation on the trail, our team will provide all official receipts and documentation to assist you in filing a full claim with your insurance provider.
